The Development & Executive Assistant will report to the Executive Director and will be a key member of the ILRF Development team, playing an integral role in the organization’s communications, administration, and fundraising. Responsibilities include executive support, board liaison/scheduling, database administration and maintenance, donor communication, donor events planning, and intern program coordination.  This job is an excellent entrée into understanding nonprofit management and an overall perspective on ILRF’s full range of labor rights advocacy.

Essential Duties and Responsibilities

Executive Support:

  • Carry out a wide variety of administrative tasks for the Executive Director, including managing an extremely active calendar of appointments, drafting personal correspondence, drafting meeting agendas, and note-taking during meetings
  • Communicate directly, on behalf of the Executive Director, with board members, donors, and external parties
  • Assist with communications and planning with ILRF’s Board of Directors, coordinating meeting preparation and logistics and liaising with Board members on various planning, follow-up, and communications needs, including the coordination of calls and agendas for board sub-committees
  • Coordinate staff meetings, developing weekly meeting agendas, scheduling staff presentations and syncing discussions with organizational planning

Development Support:

  • Work closely with Executive Director and Senior Development Officer to plan and carry out logistics and communications for donor events
  • Prepare donor outreach, including producing donor acknowledgments and fundraising communications via email blasts and social media
  • Manage funder data and ILRF’s constituent database by entering new contacts and donations, ensuring timely data entry, and regular clean-up of database
  • Assist with the research of grant prospects, outlining of pre- and post- proposal tasks, and provide additional support for writing and editing of grant proposals and reports
  • Produce timely and accurate fundraising reports including metrics analysis
  • Ensure all donations, donor information and thank-you replies are tracked and logged accurately in NeonCRM
  • Other duties, as assigned

Operations/Office Support:

  • Assist with organization-wide planning, partner communications, and planning logistics for the annual staff retreat
  • Provide “reception” function for the organization by assisting visitors to the office
  • Perform general office duties – primary phone coverage; reserve conference rooms; order/coordinate in-house meeting refreshments; manage email inboxes; process and distribute incoming/outgoing mail
  • Communicate with candidates for hire, coordinate interview schedules, and assist with the production on new hire packets
  • Assist in maintenance and troubleshooting of ILRF’s CRM system and ILRF website

Internship Coordinator:

  • Oversee, recruit, and coordinate the organization’s intern program
  • Liaise with staff supervisors and educational programs
  • Communicate with candidates for hire, coordinate interview schedules and assist with interviews

Required Qualifications

  • Proactive approach to troubleshoot and address potential problems
  • Excellent writing and editing skills
  • Demonstrated ability to work well under pressure and manage multiple work streams
  • Highly organized and detail-oriented
  • Ability to work independently, meet deadlines, and prioritize tasks
  • Ability to represent ILRF professionally at meetings and coordinate effectively with other ILRF staff and allies
  • Tech-savvy and proficiency with Microsoft Suite
  • Enthusiasm for ILRF's mission
  • Bachelor’s degree

Preferred Qualifications

  • At least two years of experience in nonprofit administration, membership, event planning, and/or fundraising
  • Experience with planning large events and/or experience as an executive assistant
  • Experience with CRM systems (i.e. NeonCRM, Blackbaud, Convio, ActionNetwork, or SALSA)
  • Graphic design skills and familiarity with Adobe Creative Suite
  • Proficiency with Drupal
